Event statuses

Every event you create moves through a small set of statuses that describe where the job stands — from the moment it arrives to the moment it is picked up (or canceled). This page is a reference for what each status means, how to change it yourself, and the one case where kweno.app changes it for you automatically.

The six statuses

An event always has exactly one of these six statuses. A new event starts as New. Each status has a color badge in the events list and in the event preview so you can scan progress at a glance.

Status Meaning Badge color
New The event has just been created and no work has started yet. This is the status every event gets on creation. Green
In progress Work on the job is underway. Blue
Waiting for parts Work is paused because you are waiting for parts or materials to arrive. Yellow
Waiting to be picked up The job is finished and the item is ready for the client to collect. Setting this status records the moment the item became ready to pick up. Purple
Received The client has collected the item; the event is complete. Gray
Canceled The event was called off and no further work will be done. Red

Note

The status labels above are the exact words you see in the app. The Status filter and the status menus offer these same six options in this order.

Changing status

You can move an event to any status manually at any time. There are two ways to do it, and both offer the same six statuses. The status the event is currently in is disabled in the menu, so you can only pick a different one.

  • From the status badge — in the events list or in the event preview, click the change icon next to the status badge. A menu of the six statuses opens; pick the new one.
  • From the options menu — open an event's Show options menu and choose Change status, then pick a status from the submenu.

Note

Choosing Waiting to be picked up records the moment the item became ready to collect. Choosing any other status clears that "ready to pick up" moment again.

Tip

You are not forced to move through the statuses in order. You can jump straight from New to Canceled, or back from Waiting for parts to In progress, whenever the real-world situation calls for it.

Automatic change

There is one situation where kweno.app changes the event status for you: the first invoice you issue for an event.

When you issue and send the first invoice for an event to KSeF, and the event is still at an early stage — that is, New, In progress, or Waiting for parts — the event is automatically moved to Waiting to be picked up. If the event is already at Waiting to be picked up, Received, or Canceled, its status is left unchanged.

The invoice dialog warns you about this before you issue, with a blue banner that reads:

Warning

'This is the first invoice for this event. Issuing and sending it to KSeF will change the event status to "Waiting to be picked up".'

Note the literal double quotes around Waiting to be picked up in the message — that is the status the event will be moved to.

Note

This automatic promotion happens only for the first invoice on an event, and only when the event is below Waiting to be picked up. Later invoices do not change the status. For the full invoice flow — issuing, sending to KSeF, and what happens next — see Invoices & KSeF.
